How to use it

Event rental quotes die when the invoice only covers the rental total. The delivery, the setup and breakdown, the cleaning when it comes back, and the damaged chairs all get donated. Start with your bar (50), profit margin percent (20), and a minimum event fee ($250). Pick an event preset: Backyard, Wedding, or Corporate, each filling line items (item, price each, quantity) that you can edit, add, or remove. The leaks card takes drive round-trip minutes, miles at your vehicle cost, setup, breakdown, and cleaning minutes, crew pay and hours, and a damage, loss, and laundry reserve percent. Results show the rental total, your committed hours, your labor at your bar, vehicle cost, crew pay, the reserve, true cost, and the recommended quote (cost plus margin, rounded up to $25, never below the minimum), with your true dollars per hour underneath. Verdicts are PRICED RIGHT, CLOSE, BUT LEAKING, WORKING TOO CHEAP, or LOSING MONEY. Worked example

Example only, not typical pricing. Wedding preset at a $50 bar: rental total is 120 chiavari chairs at $6, 15 rounds at $15, 15 linens at $18, and one dance floor at $400 = $1,615. Committed hours are 60 drive + 90 setup + 60 breakdown + 120 cleaning = 5.5 hours. Vehicle cost = 40 x $0.67 = $26.80; crew = 4 x $20 = $80; damage reserve = 5 percent of $1,615 = $80.75. True cost = 5.5 x 50 + 26.80 + 80 + 80.75 = $462.55. Recommended quote = ceil(462.55 x 1.20 / 25) x 25 = $575. Effective rate = (1,615 - 26.80 - 80 - 80.75) / 5.5 = $259.54 per hour, which clears the bar, so the verdict is PRICED RIGHT. Buying $1,500 of inventory that keeps $100 of profit per rental pays for itself in 15 rentals, or 9.0 months at 20 rentals a year, then earns $2,000 a year after payback.

Why is the recommended quote so much lower than the rental total?

Because the rental total is revenue, not profit. The recommended quote is your cost-plus number; the invoice total covers it many times over, which is exactly the margin the tool protects.

What is the damage reserve for?

Linens come back stained and chairs come back broken. A percent of every event funds replacements, so the first broken chair does not eat the month.

Should crew pay be hourly or per event?

Enter helper pay per hour times event hours. The tool prices your own hours at your bar and crew hours at crew pay, so solo and crewed events price differently.

How does the gear payback card work?

Purchase cost divided by profit per rental gives rentals to break even. At your expected rentals per year it converts to payback months and post-payback yearly profit.

What does CLOSE, BUT LEAKING mean here?

The rental total clears true cost but your effective hourly rate sits within 20 percent below your bar. Raise the quote or cut the drive.
